Applies to: newblood.com and the tools New Blood, Inc. operates for its own business
New Blood, Inc. is a web design and development consultancy owned by Jeremy Oms. This policy explains what information we collect when you use newblood.com, why we collect it, who we share it with, and what you can ask us to do about it. It is written to be read, not to be skimmed past.
What we collect
Information you give us
Our contact form asks for your name, email address, business or company name, a project budget range, a short description of what you need, and your message. You choose what to put in those fields. We use that information to answer you.
We also run discovery questionnaires at addresses of the form newblood.com/discovery/. These are sent to a specific prospective client, by link, for a specific engagement. A questionnaire collects the respondent’s name, email address, the business information they enter in their answers (goals, current systems, audience, competitors, budget expectations, and similar), the IP address the response was submitted from, and the date and time of submission. We collect that information for one purpose: to understand the business well enough to prepare an accurate proposal. Questionnaire responses are stored in the website’s own database on our hosting account.
If you buy something through this site, the checkout collects the billing and contact details needed to complete that purchase.
Information collected automatically
Our web server keeps standard logs. A log entry typically records the IP address of the request, the date and time, the page or file requested, the HTTP status returned, the referring page, and the browser’s user agent string. Server logs are how we diagnose errors, measure load, and identify abusive traffic.
The site sets cookies. Some are set by WordPress itself and are functional: they keep a session, remember a comment author, or keep a shopping cart and login state working. Others come from the services described below.
Analytics and spam filtering
We use Google Analytics, loaded through the ShareThis Dashboard for Google Analytics plugin, to see which pages people read and roughly where visits come from. It sets cookies and reports page views, referrers, approximate location derived from IP address, and general device and browser information. We look at it in aggregate. We do not use it to identify individual visitors, and we do not run advertising or remarketing pixels on this site.
We use CleanTalk to keep spam out of our forms. To decide whether a submission is spam, CleanTalk receives the submitted form data along with the submitting IP address and browser signals such as timing and interaction behavior. This runs on every page that can accept a submission.
Most browsers let you block or delete cookies, and Google offers a browser add-on that opts you out of Google Analytics. Blocking cookies will not break the informational pages of this site. It may affect the cart and account pages.
How we use what we collect
We use it to reply to inquiries, to prepare proposals and estimates, to deliver and support the work our clients hire us for, to send invoices and collect payment, to keep the site secure and working, to understand in aggregate which pages are useful, and to meet our tax and accounting obligations.
We do not sell your personal information. We do not rent or trade mailing lists. We do not share your information with anyone for their own marketing.
Who we share it with
We share information with service providers who process it on our behalf, only as far as each one needs it to do its job:
- Hosting. This site runs on managed WordPress hosting provided by Nexcess (Liquid Web). Our host stores the site’s database, files, and server logs.
- Email. Messages the site sends, and our own correspondence with you, travel through our email and transactional mail providers.
- Payment processing. Card payments made through this site are handled by Stripe. Card numbers go to Stripe, not to us. We see the result of a charge and the billing details attached to it.
- Accounting software. We keep our books in QuickBooks Online. Client and vendor names, service descriptions, time entries, invoices, and payment records live there.
- Analytics and spam filtering. Google and CleanTalk, as described above.
We will also disclose information if the law requires it, if we need to enforce our agreements, or if it is necessary to protect the rights or safety of a person. If New Blood is ever sold or merged, client and business records would transfer as part of that business, and this policy would continue to apply to them until it is replaced.
Our internal tools and third-party accounts
New Blood builds and runs a small number of internal tools that connect to third-party services using New Blood’s own accounts. These tools are for our own operations. They are not products, they are not offered to the public, and no one outside New Blood is given access to them.
One of them, New Blood Billing, connects to QuickBooks Online through Intuit’s official API. It is used solely for New Blood’s own bookkeeping. It reads and writes New Blood’s own accounting data in New Blood’s own QuickBooks company: customers, service items, time entries, and invoices. The credentials and access tokens that authorize that connection are stored only on equipment New Blood owns and controls, and they are not shared with anyone. Data retrieved from QuickBooks Online is never sold, never shared with third parties, and never used for anything other than running New Blood’s business. Access to the tool can be revoked at any time from our Intuit account, and doing so ends its access to that data.
How long we keep things
Contact form submissions and email correspondence are kept as long as they are useful to an active or potential relationship, and are reviewed periodically. Discovery questionnaire responses are kept for the life of the engagement they support, and are removed on request once a proposal has been decided. Server logs rotate on our host’s normal schedule, which is a matter of days to weeks. Business and accounting records, including invoices and payment records, are kept for at least seven years, because tax and accounting rules require it. Analytics data is retained according to Google’s settings for our property.
Security
The site is served over HTTPS. Access to the website’s administration, our hosting account, and our connected services is limited to people who need it and is protected by strong credentials. No system is perfectly secure, and we will not pretend otherwise, but we treat the information you give us as information we are responsible for.
Your choices and your rights
You can ask us what personal information we hold about you, ask for a copy of it, ask us to correct it, or ask us to delete it. You can ask us to stop emailing you. Depending on where you live, you may have specific rights under laws such as the California Consumer Privacy Act or the European General Data Protection Regulation, including the right to know what is collected, the right to deletion, the right to correction, and the right not to be discriminated against for exercising those rights. Since we do not sell personal information, there is nothing to opt out of on that front.
To make any of these requests, email joms@newblood.com. We will respond within a reasonable time, and we may need to confirm who you are before acting on a request. We may need to keep records we are legally required to keep, such as invoices, even after a deletion request.
Children
This site is meant for businesses and the people who run them. It is not directed at children under 13, and we do not knowingly collect personal information from them. If you believe a child has sent us information, email us and we will delete it.
Changes to this policy
If this policy changes, we will post the new version on this page and update the effective date at the top. Material changes will be described plainly rather than buried.
